Equipment Rental Coordinator

PRIMARY FUNCTIONS AND ESSENTIAL RESPONSIBILITIES

In this role you will be responsible for handling rental calls professionally and efficiently, as well as coordinating equipment rentals in accordance with company procedures.

The Rental Equipment Coordinator position is actively involved in jobsite visits and works with on-site personnel to strategize, identify and implement strategies to reduce the total cost of the project related to ordering, scheduling, billing and the use of rental equipment required to complete Lease Crutcher Lewis (Lewis) projects.

PRIMARY FUNCTIONS AND ESSENTIAL RESPONSIBILITIES

Equipment Rental

  • Coordinate and manage field orders
  • Monitor consumable stock and reorder points
  • Coordinate third-party rentals
  • Convert web quote imports into reservations

Document Control

  • Manage in/out slips
  • Manage overhead running totals
  • Scan and file return slips
  • Update Yard improvement and truck logs
  • Maintain Yard photos
  • Scan equipment inspection sheets and upload to file maintenance
  • Create spreadsheets and other documents as necessary
  • Upload maintenance files, service work and manuals to POR
  • Manage traffic control plans and develop internal workflow

Operations & Administrative

  • Approve and code invoices; record in PO module upon payment
  • Manage continuation billing and phase code changes
  • Manage timecard approvals
  • Manage cell phone and gas card acquisition; troubleshoot related issues
  • Complete transfer paperwork
  • Communicate job closeouts with the project
  • Communicate damage billing with the project
  • Order office and kitchen supplies

IN ORDER TO SUCCEED IN THIS ROLE

  • 2+ years’ experience—equipment rental experience preferred
  • Knowledge of construction equipment, supplies and materials required
  • Ability to drive to projects and go onto construction sites
  • Sales skills to build relationships and create buy-in of project participants to embrace the program
  • Strong communication, attention to detail and problem solving capabilities
  • Computer skills, including strong familiarity with Microsoft Office Suite, and tracking and reporting of equipment movement
  • Ability to administer contracts, run reports and review billing for accuracy
  • Team oriented and able to get along with field employees
  • Customer-service oriented
  • Ability to support, maintain and adhere to Lewis safety policies and procedures in everything you do
