Administrative Assistant to Business Services

 

POSITION SUMMARY

Lewis is seeking an Administrative Assistant to be part of the business services departments. The ideal candidate will be comfortable learning new software and processes to sustain and improve the workflows of each work area. This role will focus on collaboration and keen attention to detail. The Administrative Assistant to Business Services will support the IT Department (50%), The Marketing Director (20%), Administrative Business Manager (20%) and Community Relations Committee Lead (10%). These departments work behind the scenes to ensure that project needs are being met.

 

PRIMARY FUNCTIONS AND ESSENTIAL RESPONSIBILITIES

 

IT Team Support

  • Produce IT billing reports for project billing, answering questions about bills, and keeping details straight
  • Assist with device management and communication with cell phone providers
  • Invoice coding and management
  • Attending IT huddles and other meetings
  • Assist with meeting set up, organize events, may occasionally help with recording or setting up project meetings calendar
  • Proofread to ensure IT communications are clear

Administration Management

  • Keep Lewis contacts current and verify any new information
  • Submit payment requests
  • Update list of upcoming industry association events
  • Manage corporate donation tracking
  • Assist with upkeep of Smartsheet and org charts
  • Support Internal and external events
  • Other projects, as needed, to support Union Stables managers

 

IN ORDER TO SUCCEED IN THIS ROLE

  • Minimum two years’ administrative experience is preferred
  • Experience in the construction industry is preferred
  • Ability to handle multiple deadlines
  • Computer knowledge and proficiency in Microsoft Office Suite is required
  • Strong written and verbal communication skills
  • Proven ability to function effectively as part of a team and maintain discretion and confidentiality
  • Ability to manage time as well as, organizational and complex problem-solving skills
  • A positive attitude and willingness to work with others.

Work Environment

  • When on job sites, employees are required to wear appropriate personal protective equipment as required by the company’s safety policies and as required per weather conditions
